How to Choose a Restaurant POS System

Selecting a Point-of-Sale (POS) system is one of the most important operational technology decisions a restaurant operator makes. Beyond order entry, a modern restaurant platform can connect kitchen routing, inventory deduction, staff controls, reporting, and purchasing.

1. Offline Reliability & Local Resilience

Internet service interruptions happen. Ask vendors exactly what continues to work when the WAN connection drops and how queued data is reconciled afterward. RestoManage uses an offline-first Windows POS with encrypted local storage and background synchronization when connectivity returns.

2. Kitchen Display System (KDS) Integration

A KDS should receive orders directly from POS workflows, make prep state obvious, and keep local service understandable when cloud connectivity is interrupted. Ask whether the KDS is a true part of the order workflow or only a separate browser screen.

3. Ingredient-Level Inventory & Recipe Costing

Inventory software is most useful when menu sales connect to recipe quantities rather than only counting finished items. Evaluate units, ingredient consumption, supplier costs, variance visibility, and how much setup is required before the numbers can be trusted.

4. Hardware Flexibility vs. Proprietary Lock-In

Ask which operating systems the register client actually ships on today, which printer protocols are supported, and whether you are locked into a single hardware vendor. RestoManage currently ships its POS/KDS as Windows desktop software and supports standard ESC/POS-compatible thermal printing, while the management portal is browser-based.

5. Current integration status

Separate native integrations from manual workflows and protocol compatibility. For example, RestoManage can report delivery sales by channel, but it does not currently ingest orders directly from delivery aggregators such as Talabat, Deliveroo, Careem, or Noon.

6. 10 Essential Questions to Ask POS Vendors

  • 1What keeps working when internet access disappears?
  • 2How do POS and KDS devices communicate locally?
  • 3Are ingredients deducted from stock through recipe mappings?
  • 4Which terminal and printer models are actually supported?
  • 5How are shifts, PIN actions, cancellations, and voids recorded?
  • 6Can multiple branches be managed with appropriate access controls?
  • 7Which integrations are native and which require manual entry?
  • 8Are supplier purchase orders and invoicing connected to operations?
  • 9What data can be migrated from the current system?
  • 10What are the subscription, renewal, and support terms?
