20 questions to ask before buying a restaurant POS in the UAE
A strong POS evaluation should force specific answers about tax invoicing, service continuity, kitchen routing, inventory, hardware, integrations, migration, security, and support. If the answer is only “yes, we support that,” keep asking until the vendor explains how it works today.

Tax requirements come from the FTA, not the POS vendor.
The UAE Federal Tax Authority states that the standard VAT rate is 5%, while specific supplies can be zero-rated or exempt. Businesses should use current FTA tax-invoice guidance and VAT references to confirm their own obligations. A POS can support invoice fields and calculations, but it does not replace tax advice or filing responsibility.

Tax and commercial setup
- 1Can the POS produce the invoice information your UAE business needs, and have you checked those requirements against current FTA guidance?
- 2Does the system handle AED cleanly across menus, receipts, reporting, and pricing?
- 3Is VAT configuration explicit rather than buried in a generic tax setting?
- 4Does the quote clearly separate software, hardware, onboarding, payment processing, and third-party fees?
Service continuity
- 5What exactly keeps working if WAN internet access disappears during service?
- 6Can local POS and KDS devices still communicate when the cloud is unreachable but the LAN remains healthy?
- 7What queues locally and how does synchronization recover when connectivity returns?
- 8What is the fallback if the local router, POS terminal, or kitchen screen itself fails?
Kitchen and inventory
- 9Can kitchen tickets show modifiers, item quantities, ticket age, and fulfillment state clearly?
- 10Can the kitchen use screens, printers, or a deliberate hybrid setup?
- 11Can menu items be mapped to raw ingredients and recipe quantities?
- 12When are ingredient deductions posted, and can stock thresholds be configured before an item reaches zero?
Hardware, integrations, and rollout
- 13Which operating systems does the actual POS/KDS client support today?
- 14Which receipt and kitchen printer protocols are supported, and has your exact model been tested?
- 15Are named delivery aggregators directly integrated or only represented as order channels for reporting?
- 16What data can be migrated from the current system and what must be rebuilt manually?
Security and ongoing operations
- 17How are staff permissions, PIN actions, cancellations, voids, and shift events controlled and recorded?
- 18How is locally stored POS data protected on the terminal?
- 19How are branches and organizations separated in the cloud data model?
- 20What support, update, backup, and recovery responsibilities belong to the restaurant after go-live?

Do not let a checklist replace a live failure test
For an operational system, a vendor answer is weaker than a demonstration. Ask to see an order created during an internet outage, a KDS ticket change state, an ingredient deduction after order completion, a receipt printed on the intended hardware, and the recovery path when connectivity returns. Those exercises expose architecture more clearly than a feature matrix.
